IRMS Scotland members come from a wide range of sectors including: central and local government; financial services; charity; pharmaceuticals; engineering and utilities as well as a range of specialist service providers.

IRMS Scotland is represented in specialist information communities such as the Scottish Council on Archives (SCA), Archivists of Scottish Local Authorities Working Group (ASLAWG), and has a good working relationship with the Archives and Records Association (ARA).

I have asked if I could invite Scottish records management colleagues to the overview bit of the day and they were more than keen (unsurprisingly). So, in short, we are happy to host those interested in Edinburgh on the 4th of December to get an overview of the product, see what we have done in Edinburgh and to ask them and us questions. It will certainly be in the afternoon but exact timings have yet to be fixed – it will either be held at the City Chambers or Waverley Court (4 East Market Street, Edinburgh EH8 8BG) . If people are interested, could they let me know by the end of this week (Fri 24/11/2017)? This will help me with numbers and rooms etc. Briefly, we in Edinburgh undertook a full-scale review of all our record retention rules (based on SCARRS) in 2015/16 and cut them down from 1100+ to 916 – but it took us (2.5 FTE) 18 months and a bucket load of spreadsheets and email correspondence with over 150 individuals to do it. Even as we finished and produced our shiny new corporate retention schedule, we started getting concerns from colleagues about how difficult it was to navigate as a spreadsheet and set of PDFs. So, we wanted a tool or system that could both smoothly keep track of our 916 retention rules in terms of version control, legislation, organisational authorisation and ownership but also provide a means for staff to search and filter rules to what they are looking for. When we did some digging we found a handful of suppliers who could do that and so we went to procurement – with GlassIG coming out top. One of the interesting things about Policy Manager is that it can do more than simply manage retention rules (or policies as it calls them) but actually apply them to any number of systems and repositories - with the right customisation, though it does SharePoint ‘out of the box’ so to speak. We thought to start off simple and now we are looking to see if it can integrate with our ECM implementation project. I’ll leave it that for now but happy to answer any further questions directly.
