What is Livestorm?

Livestorm is the platform currently in use by the IRMS to host webinars. Livestorm is a technology company registered in France separate to the Information and Records Management Society (IRMS). For the purpose of delivering webinars the IRMS is the controller and Livestorm the processor.

What is the IRMS using Livestorm for?

The IRMS will be using Livestorm for the following reasons;

1. Delivery and management of the Annual General Meeting 2020.
2. Delivery and management of webinars either centrally by the IRMS as a whole, or via each regional or special interest groups.

We will not be using this platform for any other purpose currently and will not be re-using any personal data in the system for any other purpose than those outlined below.

What information do we use within Livestorm?

Members and non-members alike have to provide a name and email address to attend an IRMS webinar. This is to ensure our specific access URL is generated and sent to you before the webinar date. It is your choice if you also want to upload an avatar photo, this is not mandatory on registration. Participation in questions, polls and chat is also not mandatory therefore attendees do so at their leisure. Recordings do not in themselves capture this data and your host is responsible for avoiding capturing personal data in any recordings in so far as is possible.

How does the IRMS handle any Personal Data in Livestorm?

The IRMS does not upload personal data to the platform directly. Instead, to register for an event a link is generated and participants must click the link and provide basic contact details to register. This information is not merged or shared with anyone or anything else outside of what is outlined here.

Two weeks after an event, the data within our admin portal is destroyed. Any recordings or data taken out of the event for action by the IRMS (a query, for example) is processed by the IRMS in accordance with its usual privacy notice and standards.

Where a webinar is recorded, we will look to not capture personal data in so far as is practical. The recording only captures the presentation and speakers. Questions and comments from delegates are not recorded and hosts are asked to just mention first names (if at all) when responding to questions or queries.

How does Livestorm handle Personal Data?

Here, they outline that they are a 'Processor' for the delivery of webinars and events to Controllers (in this case, the IRMS). They are a Controller for their purposes of maintenance and fair use of the website.
