How to nominate

If you are interested in one of the open roles or know someone else who would be suitable, please note the following:

1. Nominations should be made in the form of a written nomination submitted to our Administrator at KSAM either at our registered address or to info@irms.org.uk  by 31 December 2020. This nomination should detail the name, contact details, and membership number of the person being nominated, as well as your own. You can find your membership number by logging into the website and viewing your membership profile.

2. Nominations for appointment must be seconded and supported by the nominees themselves, and self-nominations are permitted if seconded. If you cannot find a seconder, please let KSAM know and they can advise.

3. Both nominees and those making nominations must be current members of the Society. If membership has lapsed, this should be settled before the nomination period ends on 31 December 2020.

4. Nominees must be made aware of (and be in agreement with) the nomination in advance of submission. Naturally, if the person being nominated refuses the nomination, it will be discounted.

5. Any nominee for or appointed to one of the Constitutional Officer posts shall be a fit and proper person within the meaning of the Charities Act 2011.

Will there be elections?

Elections will take place if two or more candidates who have been nominated for the same role wish to stand for that role. An election will take place in the eight weeks leading up to the AGM, in accordance with the Constitution.

Where elections occur, each candidate should introduce themselves to the Membership and express their vision for the role in order to assist members in casting their vote. Results of any elections are announced at the AGM, which will be held at 16:30 on 24 May 2021 at the Hilton Birmingham Metropole.

Governance and transparency

1. All nominations are submitted directly to our Administrator at KSAM either at our registered address or via info@irms.org.uk.  No one on the Leadership Team has sight of the nominations until after the closing date.

2. Where a nomination received is unclear or lacks required elements, our Administrator at KSAM will engage directly with the individual/s involved to rectify the problem.

3. All valid nominations received will be published to the Membership within three working days of the closing date.

4. In the event of a nomination being withdrawn, the reason will also be published to the Membership.

If you have any queries about the process you can speak to the Secretary of the Society, David Reeve (secretary@irms.org.uk ),  or to our Administrator at KSAM (info@irms.org.uk who will be happy to help you.

If you would like more information about any of the roles, you can speak to any member of our team; contact details can be found on the  Our Leadership Team page of the IRMS website.  You can also read our annual reports for  20192018, and  2017 as well as previous AGM and Executive Meeting minutes in order to see what actions have been taken by previous post holders.

Volunteering for the IRMS brings a number of benefits, some of which are listed below. We hope you'll consider getting involved, and look forward to welcoming more new faces into our team for the coming year.

  • Experience working with different areas and tasks outside those normally associated with Information & Records Managers.  At our annual strategic meeting for example all volunteers on the Executive are invited to contribute and throw around ideas to help develop and sustain the Society
  • Leadership and Project Management Experience.  You are given support throughout your time as a volunteer but you are also encouraged to be self-motivated and lead on your own tasks and projects in support of the IRMS Strategy.
  • Access to a range of professionals at various stages of their careers that make up the IRMS volunteers .  We are a supportive friendly bunch that not only help each other with our IRMS tasks but often will also bounce ideas off of each other for issues or matters we face in the day jobs as well.
  • Experience working with people from all over the UK and from a wide range of sectors .  Currently we have volunteers from both the public and private sectors and from London, to Scotland to all the way over to Ireland.
  • Subsidised attendance at our annual Conference. The Executive are expected to attend the annual conference and AGM therefore your place is subsidised by the IRMS. However, all of the Executive are expected to be on duty while you are there and you are often asked to host sessions, support delegates, man the IRMS stand and other tasks that may come up during Conference.
  • Extra content for the CV.  Showing that you are willing to give up your time to help run such a society shows a commitment to the profession and your own development. Therefore it looks very good on the CV when you're looking for a new role.
  • It does take time, but life and work comes first. It will require some time to be a volunteer of the IRMS however we operate an ethos of work and home first, then comes the IRMS. Our work plan and expectations of our volunteers are all designed to be flexible and eat into your spare time as little as possible.
