The role of Secretary is one of our four most senior roles (also known as Trustees), whose duties are specified in the IRMS Constitution. Alongside the Chair, Vice-Chairs and Treasurer, the Secretary is at the heart our decision-making, driving forward our strategic priorities in support of and on behalf of the information profession. Now, that role could be yours - but you'll need to get in quick! We are seeking nominations for a Secretary by Friday 30 June, so if you're interested please follow the instructions below and get in touch as soon as possible. What the role involves Duties of the Secretary include: - Acting as a Director and Trustee of IRMS Ltd; serving on the Executive Committee supporting the IRMS in its various initiatives and projects
- Being the key contact person for the IRMS in supporting and development of membership of the IRMS
- Taking the lead on specific areas of the IRMS including leading working groups to deliver set objectives and report on progress
- Overseeing administration of IRMS Executive meetings and the AGM, and the production of the IRMS annual report
- Representing the IRMS and its members to any 3rd parties that the IRMS wishes to liaise with, including attendance at events
Excellent organisation, prioritisation and time management skills with the ability to work to tight deadlines, proven project management skills, and strong written and verbal communication skills across all levels of an organisation are essential skills for this role. How to nominate 1. Nominations for Secretary are to be made in the form of a written nomination submitted to our Administration Team either at our registered postal address or via info@irms.org.uk by 30 June 2023. 2. This nomination should include the name, contact details and membership number of the person being nominated, as well as your own. You can find your membership number by logging into the website and viewing your membership profile.
3. Nominations for appointment must be seconded and supported by the nominees themselves. Self-nominations are permitted if seconded. If you cannot find a seconder, please let our Administration Team know and they can advise.
4. Both nominees and those making nominations must be current members of the Society. If membership has lapsed, this should be settled before the nomination period ends on 30 June 2023.
5. Nominees must be made aware of (and be in agreement with) the nomination in advance of submission. Naturally, if the person being nominated refuses the nomination, it will be discounted.
6. Any nominee for or appointed to the Secretary position shall be a fit and proper person within the meaning of the Charities Act 2011.
If two or more candidates who have been nominated wish to stand for that role, an election will take place, in accordance with the Constitution. Where elections occur, a questionnaire is completed by each candidate to introduce themselves to the membership and express their vision for the role. Members can then use this to cast their vote.
Governance and transparency 1. All nominations are submitted directly to our Administration Team either at our registered address or via info@irms.org.uk. No one on the Executive Team has sight of the nominations until after the closing date.
2. Where a nomination received is unclear or lacks required elements, our Administration Team will engage directly with the individual/s involved to rectify the problem.
3. All valid nominations received will be published to the membership shortly after the closing date. In the event of a nomination being withdrawn, the reason will also be published to the membership.
